The Ask
The client facing employee portal had never been redesigned since it was build 10 years ago. There were some design changes that happened across the brand, but no one had updated the experience during that time.
Improving usability and mobile responsiveness were the primary goals of this project. Through research and usage data, we found that employees were mainly accessing the site via their phones. The old portal was not mobile responsive at all. Most of those who were still using desktop wanted to use the mobile site but couldn't due to the poor experience.
Requirements & Scope
I worked with product managers to write up every feature the current employee portal has (profile, viewing paystubs, downloading tax forms, etc.). We also made a short list of enhancements, such as the ability for employees to self-onboard and mobile responsiveness.
Our clients are employer with small businesses. They're very busy and don't have time to do data entry of all their employees. They requested having a self-onboarding feature so employees can enter and manage their own info.
Another large part of this project was unifying the experience with our on-going product redesign project. We need to make sure all three of our separate products look they they're one big product with a unified brand identity and consistent user experience. (Read more about that here!)
Design
The dashboard gives the employee a snapshot of their most recent paystub, and lets them know when they can expect their next payday. I also created a number of different widgets that can be swapped out by different website triggers. For example, if an employee is getting paper checks, we suggest setting up direct deposit in the "Go Paperless" widget. We can also include or remove widgets based on employee types. For example, only restaurant employees need to fill out tip forms, so they'll be the only ones to see the "Tip Forms" widget.
